6 Features to Save Time on your Yearbook

Your time is precious and you don’t want to spend it all on the yearbook. I’m sure you have better things to do on your weekends, am I right?

Let’s be honest here: I’m exactly the same and we all agree on this at Fusion. That’s why we focus all our efforts on answering these 2 questions: How can we help you get rid of the time-consuming (and annoying) tasks? How can we make the yearbook project enjoyable for everyone?

Let me answer this right now: We build features to solve your problems. If you’ve been using Fusion for several years, you probably noticed the few changes we made last year. The biggest one was the integration of the Canva editor, which is now considered as one of the most powerful online design tool on earth (14 million users joined in less than 3 years!). The other big one was that we redesigned the entire web application to make it evolve on a daily basis. We also changed the way we think of new features: As a user of Fusion, you are now part of the development process. So if you have any problem, needs or ideas in mind, please share them with us!

Let’s take an example. By definition, schools are creating a new yearbook every year. This involves: setting up a new project, forming a new team and sometimes choosing a new yearbook coordinator. And this is not even considering all the new events, new photos, new people and the new articles to be published. Does it mean that the new yearbook team has access to crucial information, like the mistakes other teams have made in the past? Or what about access to all the design elements to reuse from one year to another? Unfortunately not.

These are exactly the kind of things I want to discuss here. In this post, you’ll discover 6 features that will help your school get better results every year. You’ll understand that it’s also very easy to save time, improve your designs, work more efficiently as a team, and finally, make the yearbook a success well deserved. Let’s get into it.

What’s new in terms of project management?

01. You can now centralize all your projects at the same place

How it was before: Every year, you had to create a new account on Fusion and start a new project from scratch. Each project was isolated from other projects managed by your school.

How it is now: You can now access all your school’s previous yearbook projects in the same place, and create as many projects you need.

How does it work?
In the Yearbook Builder, simply click on the name of the current project you’re working on, found in the upper middle portion of your screen. Then, click on ‘Add a project’.

A prompt will ask you to name your new project. Once you click “Create”— success! You have created a new project.

Switching between projects is even easier. Simply click on your Project Name and select the project you wish to edit. That’s it!

The direct benefits:

  • You can see what’s been done in the past. This should save you loads of time on the book structure, the team structure, the design, and more.
  • You’ll be able to access project notes left by previous teams (and to leave your own notes for the following teams). This is will help your yearbook committee improve over the years.

02. You can now use our online yearbook builder as a real photo library

How it was before: Each project used to have its own photo library. This meant that it was not possible to reuse images from other projects (like logos, principal or teacher photos, etc.).

How it is now: From now on, you can access and reuse photos from your school’s previous projects. All your uploads are accessible in the same place and you can organize them as much as you like (sort into photo folders, add, move, delete, etc.).

How does it work?
Open any page of your current project by clicking on the pencil icon. Then, click on ‘Uploads’.
By default, you’ll see all the photo folders created in the past. This way, you are now able to centralize all your school’s design elements and any other images you want.

The direct benefits:

  • No need to waste time finding the right logo to use in the yearbook.
  • No need to bother your principal to get a photo already approved in the past.
  • No need to chase your teachers (they’re busy enough). Simply reuse the photos they provided and approved in the past.
  • Simply reuse your school’s graphic elements, marketing materials, and more.

What’s new in terms of design?

03. You can now reuse old templates to save time and stay consistent

How it was before: Let’s say you have last year’s yearbook in your hands. You really like the design and would like to replicate it for this year’s yearbook. Or just maybe a couple of pages you really like. Well, before you had to redesign every page from scratch.

How it is now: From now on, you can access a library with all the designs your school saved in the past. Which means, you can simply drag and drop every single design you like into your new project and replace the content in minutes! Dozens of hours of work saved – again!

How does it work?
Here’s how to reuse old templates:
Open any page you have in your project (except Profile pages, these work a little differently).

The Page Editor should automatically load the Layouts tab. Click the drop down menu and select “All your designs”. Previously created designs will load here. Simply click on the layout you want to use.

Edit the content and success! you’ve saved yourself a few more hours of tedious work.

PRO TIP!

Use the “Duplicate” button to copy and create multiple pages with the same layout easily.

The direct benefits:

  • Make the most of your weekends, instead of having to recreate pages that were already great.
  • You can focus on what really matters: the content, and polishing designs that will only improve year after year.
  • Your yearbook will be part of a customized and consistent collection – it’ll be such a pleasant feeling for your principal when they look at the school’s yearbook shelf!

04. You can now reuse the exact same colors every year

How it was before: Is your school’s color green? Well, before, you were able to pick from a range of greens, without being entirely sure this was the exact same green your school usually employs. As a result, from one page to another, or even from one yearbook to another, you could spot a few too many variations of the same green.

How it is now: No need to improvise anymore! You can now simply copy and paste your school’s color code! It’s perfect to make sure you’re always using the right colors!

How does it work?
By accessing previously used layouts under “My Designs”, you can identify the color codes used. Copy the color codes and use them in your current designs.

Here are the steps to identify previously used color codes:

Open any page with a previously used template.

Once the Page Editor loads, click on the element with the color you want to reuse.

Click on the color box and then click on the plus sign to open the color wheel.

Copy the color code that appears at the bottom. Then click on the element you wish to use it on, and follow the same steps to open the access the color picker. Simply paste the color code here.

The direct benefits:

  • No need to waste time hesitating: your color code is unique, simply use it.
  • Maintain consistency by reusing colors used previously, or by using your school’s colors.
  • Make sure your school’s staff is happy with the final results.

05. You know what? You can do the same with photo filters!

There’s no need to explain the idea again, because it’s exactly the same. What’s interesting here is that reusing your photo filter codes will help you maintain your publication’s style. Just like color codes, you can identify and copy the photo filter codes through accessing your previously used layouts under “All your designs”.

Here’s how:

Click on the photo with the filter that you want to reuse.

Click on “Filter” in the toolbar and look for the filter code used at the bottom. It’s a combination of letters and numbers.

Copy the filter code and apply it to another photo.

The direct benefits:

  • No need to waste time looking for that lovely photo filter they used last year. Simply access it and use it again.
  • Being consistent also helps you build the your visual identity. Which means the results will be even more professional.

What’s up in terms of collaboration?

06. Don’t forget to assign pages to your team members!

Okay, so this one isn’t new, but I thought it would be cool to remind you that you can allocate tasks to other students and teachers to save even more time. To find out what the 3 different levels of contribution are, check out this article.

Simply keep in mind that you don’t have to handle everything yourself. Building a team, organising tasks, and working together is the best way to make the project collaborative and enjoyable. Everyone will feel part of the project and you’ll simply watch your yearbook fill by itself. Assigning roles to team members is easy. Here’s how:

To access your Team Page, click on “Manage.”

After which, click on the “Team” tab to see your Team page. Click on any of the plus signs you see on the page. However, please note that these plus signs correspond to different team member roles.

Fill up the team member details and click create.

The team member will get an email with their user details. There you have it! Don’t forget to give a small heads-up to your team about what they’re supposed to do.

Of course, I could go on and on about all these features. I could also tell you more about all the little tweaks we are constantly improving here and there — but for this post, I really wanted to show you the main features we came up with this year to maximize your skills and improve your experience. Let’s sum it up quickly:
